1. Introduction
Thank you for using Travel Healthcare. We help travel-healthcare professionals find their next role, and we know that means trusting us with personal — and sometimes health-related — information. This Privacy Policy explains, in plain terms, what Travel Healthcare, LLC ("Travel Healthcare," "we," or "us") collects when you use travelhealthcare.com, our job board, and your account and document vault (together, the "Services"), and how we use, share, and protect it. If anything here is unclear, please reach out — the last section tells you how.
2. Personal Information We Collect
Depending on how you use the Services, we collect a few different kinds of information:
- Device and usage data, collected automatically when you visit — including your IP address, browser type, operating system, pages viewed, and how you interact with the Services.
- Contact information — your name, email address, and phone number.
- Professional information — your specialty, professional license, and license location.
- Documents you provide — your résumé and any documents you add to your vault, which may include licenses, certifications, a photo ID, immunization records, respirator fit-test records, and references.
- Account information — your login credentials and profile details.
- Messages you send us — the contents of inquiries and support requests.
We do not ask you for your Social Security number. Because you choose what to upload, a document you add to your vault — such as a photo ID — may itself contain government-identifier information.
3. How We Use Your Personal Information
We use what we collect to run Travel Healthcare and to help you find work — nothing more surprising than that:
- To operate the Services and your account and document vault.
- To match you with roles based on your specialty, licensure, and experience, and to enable recruiters and employers to consider your application and contact you about opportunities.
- To communicate with you by email, phone, and text message about your inquiries, applications, and account, where you have provided the consent required for that contact.
- To secure the Services and prevent fraud and abuse.
- To analyze usage and improve the Services.
- To comply with applicable law and enforce our agreements.
4. How and With Whom We Share Your Personal Information
We don't share your information except in the situations below:
- Recruiters and employers. When you consent, we provide the information in your profile — your contact details, professional experience and credentials, and résumé — to recruiters and potential employers so they can consider your application and contact you about opportunities.
- Service providers. We share personal information with vendors who perform services on our behalf, such as website hosting, secure document and file storage, transactional email, and analytics. They may use it only to provide those services to us.
- Legal and safety. We may disclose information to comply with law, respond to lawful requests, enforce our terms, prevent fraud, or protect the rights, property, or safety of any person.
- Change of control. If we are involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction.
- Sale or sharing of your information. When you consent, we share your candidate profile — including your contact details and professional credentials — with recruiters and employers so they can contact you about opportunities. Under California and similar state laws, this may be considered a "sale" or "sharing" of your personal information. You can opt out at any time using the Do Not Sell or Share My Personal Information link in our footer, or by emailing [email protected]. We also honor the Global Privacy Control browser signal: if your browser sends it, we will not share your information with recruiters and employers unless you tell us to — when we detect the signal, our form lets you choose to be matched by giving consent. Opting out stops future sharing; it does not retract information already shared. We do not sell the health-related documents in your vault, and we do not share your information with advertisers.
5. How Long We Keep Your Personal Information
We keep personal information only as long as we need it to provide the Services and to meet our legal obligations, then we delete or de-identify it:
- Device and usage data. If you have not created an account, we retain the data we collect about your visit for up to five years. If you have an account, we keep it for as long as your account is active.
- Account and profile data, and the documents in your vault (résumé, licenses, certifications, references, and immunization and fit-test records). We retain information associated with your account for up to 60 days after your account is closed, then delete or de-identify it.
- Uploaded government-ID images (a photo ID you add to your vault). We retain these for up to 200 days after you upload or update them.
- Inquiry data (information you send through our "get matched" form). We retain this for up to 24 months, then delete or de-identify it.
- Consent records. We keep the record of the consent you gave for as long as we hold the related information and as needed to demonstrate compliance.
We apply these windows through our deletion process (see Section 8).
6. Cookies and Analytics
We use cookies and similar technologies to operate the site and understand how it is used, including a third-party analytics service. Analytics does not run until you accept our cookie banner, and we configure it so that details such as your name, contact information, specialty, license, or any health-related information are not shared with the analytics provider. We do not use advertising or social-media tracking pixels. We honor the Global Privacy Control browser signal as an opt-out of sharing (see Section 4).
7. Consent for Contact and Health Information
Where you submit an inquiry or upload health-related documents, we ask for your consent through separate, unchecked opt-in checkboxes — a distinct choice for collecting your information, for sharing it with recruiters and employers, and for being contacted by phone, text, and email. We keep a dated record of the exact language you agreed to.
8. Your Privacy Rights and Choices
- We do not send marketing text messages or marketing email — the only messages we send are transactional replies to something you submitted. Recruiters and employers who contact you directly manage their own communications, including any opt-outs. To stop us sharing your information with them, use the Do Not Sell or Share My Personal Information link or email [email protected]; the opt-out applies to the email address you provide and stops future sharing.
- Request to access, correct, or delete your personal information, or to withdraw your consent, by emailing [email protected]. When you ask us to delete your information, we remove it across all of our systems — your account, the documents and résumé in your vault, your inquiry records, and your consent records.
- We will respond to verified requests within 45 days. If we need more time, we will let you know.
- You may also use an authorized agent to submit a request on your behalf; we may ask the agent for proof that you authorized them.
9. State Privacy Rights
Wherever you live in the United States, we extend the same core privacy rights to you. You don't need to live in a state with a privacy law to ask us to honor them.
Rights we offer to every U.S. resident. You may ask us to:
- Know and access the personal information we hold about you.
- Correct inaccurate information.
- Delete your information.
- Receive a copy of the information you gave us, in a portable format.
- Opt out of any sale or sharing of your information and of targeted advertising.
- Withdraw consent you previously gave.
We will not deny you service, charge you more, or give you a lesser experience for exercising these rights. To make a request, email [email protected]; we will verify it and respond within 45 days.
Additional rights in states with privacy laws. Several states have comprehensive privacy laws that may give you extra rights on top of the core rights above — most commonly the right to appeal a denied request and specific protections for sensitive information. If you are a resident of a state with such a law (for example, California, Virginia, Colorado, Connecticut, and others), those rights apply to you.
- Appeal. If we decline your request, you may appeal by emailing [email protected]. If we deny the appeal, your state's attorney general may provide a way to submit a complaint.
- California (CCPA/CPRA). You may also limit our use of sensitive personal information, request the categories of third parties to whom we disclose information, and opt out of the sale or sharing of your personal information (see Section 4).
- Health-related information. If your request concerns health-related information, see Section 11.
10. Security, Children, Third-Party Links, and Changes
- Security. We take appropriate measures to protect personal information, including encrypted connections and access-controlled storage for documents and résumés. No system is completely secure, and you are responsible for keeping your password confidential. If a data breach affects your personal information, we will notify you and the appropriate authorities as required by applicable law.
- Children. The Services are not directed to, and we do not knowingly collect information from, anyone under 16 years old (or older where an applicable jurisdiction requires). If we learn we have collected information from someone under that age, we will delete it.
- Third-party links. Other sites we link to are governed by their own privacy policies.
- Changes. We may update this policy; the current version supersedes prior ones and is dated above.
11. Health-Related Information
Some of what you share with us is health-related — your specialty and professional license, and any immunization or respirator fit-test records you upload. We treat this as sensitive information:
- Collection and use. We collect it directly from you, through the inquiry form and your document vault, to match you with roles and to store your documents so you can reuse them across applications.
- Consent. We ask for your separate, opt-in consent before collecting health-related information, and again before sharing it with recruiters or employers, and we keep a dated record of what you agreed to.
- Sharing. We share it only with your consent. We do not sell your health-related documents or use them for advertising.
- Your choices. You may withdraw your consent or ask us to delete your health-related information at any time by emailing [email protected].
